QUALIFICATIONS:
     Proficient in both written and verbal communications.
     Experienced in Microsoft Word and Excel, Peach Tree, Quicken or other Financial software.
     Internet Familiarity
     Financially Bonded

EQUIPMENT REQUIREMENTS:
     Personal Computer loaded with MS Word and Excel.
     Fax machine capable of being programmed for membership distribution.
     E-mail address with Internet hook-up.
     Dedicated IFMA-Austin Telephone/Fax Number

RESPONSIBILITIES:
     Primary liaison with national headquarters.
     Primary telephone contact for Austin chapter.
     Maintain membership database.
     Maintain financial database.
     File Chapter Certification
     Follow Up on Chapter deadlines
     Assist in Event Coordination

SPECIFIC DUTIES:
     -Communicate/update at least two times weekly with President.
     -Maintain log of inquires and contacts.
     -Establish a dedicated telephone/fax number(s) for IFMA business. and ensure telephone number is communicated to membership, businesses, and to applicable publications.
     -Establish a dedicated P.O.Box for IFMA correspondence.
     -Fax/E-mail monthly new letters, meeting notices/RSVP, miscellaneous correspondence.
     -Attend Houston headquarters and train on chapter administrator's responsibilities and data management responsibilities.
     -Attend Executive and General meetings and events as scheduled.
     -Coordinate lunch reservations for monthly executive and general meetings. (Obtain numbers and list of attendees)
     -Bill attendees for lunch as required.
     -Primary Golf Tournament Coordinator: Duties and pay need to be reviewed.
     -Assist in filing or facilitate the filing of 1099 forms and 990 reports with the Internal Revenue Service (IRS).
     -Assist in preparation and issuance of quarterly financial reports as prescribed by the IRS.
     -Coordinate the audit of financial records on an annual basis.
     -Maintain records of nature of deposits, withdrawals, and all financial transactions.
     -Keep log of telephone/e-mail inquiries indicating name, purpose, resolution.
     -Maintain literature of up-coming IFMA events, programs, seminars, courses for local and national
     -Answer telephone between 8:30 AM and 5:00 PM, Monday through Friday, excluding holidays. Maintain operable voice mail or message system and reply in a timely manner to requests.
     -Respond to prospective members: Create and maintain membership packets available for distribution to new members.
     -Maintain the insurance policies as approved by IFMA Board of Directors.
     -Promote annual events.
     -Ensure preparation of awards, plaques and certificates.
     -Assist the president with the preparation of the meeting agenda and compile and distribute background material to officers and committee members.

CHAPTER RESPONSIBILITIES:
     Monthly pay.
     Reimbursement/payment for post office box, phone bills, faxes, copying, postage, and approved expenses.
     Waiving of monthly meeting costs.
     Authorization of Chapter/Headquarters data access.
     (Note, chapter will pay fraction of equipment/service expenses when shared with personal or other associations)
